Step-by-step instructions

Open Plan as a Super Admin

Go to workable.com/backend/subscription/edit_plan (Settings → Plan in the company menu). Only Super Admins see cancel and Free-downgrade controls. If Plan is missing or grayed out, ask the Super Admin who owns billing.

Scroll past the upgrade plan cards

The Plan page opens on Upgrade plan options — Standard, Premier, and Enterprise with employee-band pricing. You are not purchasing here. Scroll below the plan cards and the full feature breakdown table to reach the cancel links.

Click downgrade to the free plan

Under the feature table, click the text link downgrade to the free plan (next to close your account). That starts the immediate Free path. If you instead see Cancel subscription in your current plan details, use that and choose Cancel immediately after the exit survey — same Free outcome.

Review the Free plan summary

Workable shows Your plan will be downgraded to Free at $0, with 0 job slots, read-only candidate access, and continued access to employee profiles, directory, org chart, and files. Read the warning that all jobs will be archived immediately, then click the teal Downgrade button.

Verify you are on Free Plan

Plan should show Your current plan as Free Plan at $0, with an Upgrade to a paid plan prompt. Billing stops for the canceled paid subscription. Candidate profiles stay viewable in read-only mode; posting jobs requires purchasing a plan again.

Cancel renewal instead (keep access until expiry)

On Plan, click Cancel subscription in your current plan details, complete the exit survey, and choose Cancel subscription renewal (not Cancel immediately). The paid plan stays active until the expiration date shown — no further renewals. Until then you can click Reactivate under the yellow plan box if you change your mind.

Manual invoicing: contact your Account Manager

If Cancel subscription renewal is missing, Workable treats the account as a manual subscription. Self-serve cancel will not stop invoiced renewals — email your Workable point of contact or Account Manager and get written confirmation before the next invoice date.

Do not confuse archiving jobs with canceling

Archiving or unpublishing jobs alone leaves the paid subscription renewing. To stop charges you must cancel renewal or downgrade to Free on the Plan page. Workable’s help center states this explicitly — job cleanup is not billing cleanup.

Permanent delete vs Free (data loss)

Close your account / permanently delete is separate from Free. After choosing immediate cancel, you can tick the option to permanently delete account data. That removes recruiting data, blocks login, and takes down the careers page — Free keeps view-only candidates and settings. Only delete if you are sure you will never need the ATS data again.

Frequently Asked Questions

Not for a canceled self-serve subscription, once the cancel completes. If you chose Cancel subscription renewal, you keep paid access until the current period’s expiration date and then stop renewing. If you downgraded to Free immediately, paid access ends now and Workable does not bill that plan again — unless you repurchase. Manual-invoice accounts need the Account Manager path above or renewals can continue.

Workable’s help center states refunds are not possible for early cancellations or downgrades, and immediate Free cancel ends the subscription with no refund for remaining time. Cancel renewal near the end of the cycle if you want to use what you already paid for. EU/UK consumers may still have a 14-day right of withdrawal under local law for new purchases — contact Workable Support with your invoice if that applies.

Jobs are unpublished and archived immediately. Candidates stay in the account in read-only mode (you cannot interact with them). Employee profiles, directory, org chart, and files remain available if you use HR features. Settings and pipelines are kept. Reporting UI is blocked until you return to a paid plan. Forty-five days after moving to Free, candidates are archived automatically — you can manually unarchive them later. Permanent account delete removes recruiting data entirely; Free does not.

Workable billed subscriptions are managed on the web Plan page, not through the Apple App Store or Google Play. Use Settings → Plan as a Super Admin. If you cannot see cancel controls, you are either not a Super Admin or you are on manual invoicing — escalate to the account owner or your Workable contact rather than looking for an App Store subscription.

Yes. The 15-day trial covers Standard recruiting/HR features and typically needs no credit card. When the trial ends, pick a paid plan or leave the account on Free (view-only candidates, no job posting). If a card was added and a paid plan purchased, use the same Plan → cancel renewal or Free downgrade flow before the next charge.

Yes. Before a scheduled renewal cancel takes effect, use Reactivate on the Plan page. After Free is active, purchase Standard, Premier, or Enterprise from the same Plan page — jobs can be republished once you are paid again. Candidate and settings data from Free generally remain; permanent delete cannot be undone the same way.
