Confirm you have billing admin access

Only a billing owner, admin, or super admin sees the Cancel plan link. Regular members and guests have no way to cancel — they have to ask whoever runs Billing. If you're not sure of your role, open the Admin console and check whether the Billing tab appears in the left sidebar. If it doesn't, cancellation isn't going to work from your account.

Open the Admin console

Sign in to Asana in a web browser, click your profile photo in the top-right corner, and select Admin console. The cancel flow is web-only — the iOS and Android apps do not show a Billing tab. Deleting the Asana app does not cancel anything.

Open the Billing tab and click Cancel plan

In the Admin console left sidebar, select Billing. In the Plan details card at the top, you'll see three inline links: Change plan · Switch to an annual plan · Cancel plan. Click Cancel plan (or Cancel trial if you're inside a trial period).

Pick a cancellation reason

Asana shows a "We're sorry to see you go / Would you tell us why?" screen with six radio options: We do not have a business need, We need features Asana doesn't have, Asana is too expensive, We intend to use a different tool, I couldn't get my team to adopt Asana, or Other. You must pick one — Continue stays greyed out until a radio is selected. Pick the option that fits and click Continue.

Read the "Don't lose your features" warning

The next screen enumerates every paid feature you'll lose: Private projects and teams becoming inaccessible, projects with custom fields getting hidden, loss of rules, loss of Customer Success and priority support, and hidden start dates on tasks. Scroll through so you know what to expect, but nothing is deleted — the data is preserved and the features unlock again if you resubscribe.

Check the acknowledgement box and click Continue to cancel

At the bottom of the warning page, check the box labelled "I acknowledge that [your workspace] will lose access to all Asana [tier] features at the end of my trial/subscription." The dark Continue to cancel button turns blue and clickable once the box is checked. Click Keep Asana Starter (or your tier) if you change your mind — that returns you to Billing untouched.

Review your downgraded plan

Asana shows a "Your new plan will be" summary: the workspace name, the number of members that will remain on the free tier, and the new cost ($0.00 if you're downgrading to Personal). A dated notice tells you exactly when you lose paid features — that's the end of your current billing period, not today. Confirm the date matches what you expect.

Confirm cancellation and verify the end date

Click Cancel your subscription (or Cancel your trial). Asana returns a "Your subscription/trial is canceled" confirmation, and the Billing page updates to show your new tier and the end date. A confirmation also lands in the billing owner's email. If either the on-page confirmation or the email doesn't appear, do not close the tab — check the Billing tab again and, if Cancel plan is still there, start a chat before you leave.

Reduce seats first if you're paying for extras

Multiple r/Asana users report signing up for two seats and being billed for five or ten. Unused seats on the just-canceled billing period are not refundable, so open the Members section before you click Cancel plan and drop the seat count to what you actually use. If the Billing UI won't let you go straight to the number you want, the reduction sometimes needs two or three saves to reach the floor — one user reported having to drop from 10 → 7 → 5 → 2 across separate visits.

Manually invoiced customers: use Contact billing instead

If your organization is on manual (offline) invoicing rather than a card-on-file subscription, the Cancel plan link is replaced with Contact billing. Open Billing → Contact billing to file a support case for cancellation at your next renewal. This is not a workaround — it's the documented path for invoiced plans, and cancellation still takes effect at the next renewal, not immediately.

Trials without payment info: no cancel required

If you started an Asana trial without adding a credit card, the trial expires on its own and you are never charged. Asana's own documentation confirms this — you can safely close the tab and forget about it. The Admin console cancel flow is only required for trials where you added payment details, or for paid subscriptions.

Cancel your plan — do not delete your Asana account

Canceling a paid subscription drops you to the free Personal plan and preserves every task, project, and workspace you've ever created. Deleting your Asana account is a separate, permanent action from a different Admin console screen — it destroys your history and cannot be undone. If your only goal is to stop the bill, use the Cancel plan flow above; leave the account alone.

No new charges after the cancellation confirms, but the current billing period is not refunded. Your plan stays fully active until the end date shown on the confirmation screen — that's the date to check against your next credit card statement. If a charge appears after that date, keep the on-screen date and the confirmation email as evidence for a support ticket or bank chargeback; multiple r/Asana users describe post-cancel charges that took email escalation to resolve.

Asana's Subscriber Agreement is explicit: self-initiated cancellation earns no refund for the most recently charged fees. You keep access until the paid period ends and that's the entire remedy. EU and UK users have a 14-day right of withdrawal on new subscriptions under consumer law. Outside that window, the only documented path is contacting support by email — most confirmed refund successes on Reddit are trial-to-paid conversions caught within a few days, not annual-plan mid-cycle refunds, so set expectations accordingly. Your data is preserved. Downgrading does not delete anything — every task, project, subtask, comment, and file attachment stays exactly where it was. What changes is feature access: on the free Personal plan you lose rules, portfolios, goals, custom fields, and start dates, and projects that use those features become read-only or hidden. You can export any locked project or task to CSV before or after the downgrade. Downgrading from Advanced to Starter (rather than all the way to Personal) keeps Starter-tier features on — only Advanced-only features go away.
