Sign in as an organization admin, open Settings → Billing, click Downgrade under the Free plan, then confirm with Move to Free. Retool cancels the paid Team or Business subscription at the end of the current billing period and Free is limited to 5 users. Annual plans outside the 7-day grace window need support@retool.com — unused time is not refunded.

Only an admin can open Billing and change the org plan. Regular builders and end users will not see a Downgrade control. If Billing is missing from Settings → Organization, ask whoever owns the Retool org to run this flow — or have them grant you admin first.
Sign in on the web, open Settings, and under Organization click Billing. You land on the Plans comparison (Free, Team, Business, Enterprise) with an Annual / Monthly billing toggle. Direct entry after login: Settings → Billing.
In the Free column ($0, up to 5 users), click Downgrade — not Subscribe on Team or Business, and not Book a demo on Enterprise. That opens the confirmation modal for leaving the paid plan.
The "Downgrade to Free Plan?" modal states two facts: you cannot have more than 5 users on Free, and Retool will cancel your paid subscription at the end of this billing period. Confirm that timing and headcount match what you expect before continuing.
Skip the Cancel button on the modal (that only closes it). Click the blue Move to Free button to schedule the paid subscription cancel and set Free as the plan you will land on.
A green toast should read "Plan changed successfully." On the Plans table, Free shows as Current plan. Paid access continues until the end of the billing period named in the modal — watch that date on the next invoice and card statement.
Retool treats annual billing as a commitment. Within the first seven days (the grace period), admins can change plans in Billing — docs say to move annual → monthly paid first, then Free if that is the goal. Outside the grace period, contact support@retool.com: Support can change the plan but will not issue a prorated refund for unused months. You can also adjust an annual renewal in the last month of the term via the same Billing path described in Retool's downgrade docs.
There is no self-serve Downgrade to Free for Enterprise. Contact your Retool account manager to change or end the contract. Book a demo on the Billing page is a sales path, not cancellation.
Free allows up to 5 users. If the org is larger, reduce enabled users under Settings → Users before or right after the downgrade so you are not stuck over the Free limit. Retool also bills by activity: Builders (who edit apps/workflows in the cycle) cost more than Internal users — the Billing banner may still say "standard" and "end" users for the same seat types. Disable test logins you no longer need; community reports note that short-lived sign-ins can still count in a billing cycle.
When the company email domain is gone, the org is shut down, or only a personal card is left on an old subscription, the dashboard cancel path is unreachable. Email support@retool.com (billing support aims to reply within 2 business days and can process refunds and admin fixes), or open a ticket at help.retool.com. The community forum and weekly office hours are backups if email stalls.
