Quick answer

Sign in at whereby.com/user/subscriptions, click Cancel subscription, confirm on We're sorry to see you go, then click Yes, cancel my account. You keep paid Whereby Meetings features until the end of the current billing period — Whereby does not refund unused days for a standard change-of-mind cancel.

Whereby was the one you remembered

The next renewal is the one you won't. RecurDash keeps the list and emails you before each charge lands.

Step-by-step instructions

1

Sign in on the account that pays the bill

Open whereby.com/user/subscriptions and sign in. If you belong to more than one organization, use the account picker in the top-left and switch to the workspace that owns the subscription — only that account's Subscription page can stop the charge.

2

Open Subscription and click Cancel subscription

In the left sidebar, select Subscription. Under Subscription details you'll see your plan, host/license count, upcoming charge, and next charge date. Click the Cancel subscription button at the bottom of that card.

3

Click Cancel subscription on We're sorry to see you go

Whereby opens a modal titled We're sorry to see you go. It states you can keep using Whereby Meetings until the end of the current billing term, then lists what happens after that date: rooms become unavailable immediately, files in media storage are deleted after 14 days, and account and configuration data are deleted after 60 days. Click Cancel subscription — not Back — to continue.

4

Confirm with Yes, cancel my account

A second modal asks Are you sure you want to cancel your account? On a trial it may warn that you and your users lose access to the account, subdomain, and rooms once the trial ends. Click Yes, cancel my account. No, keep my account closes the flow without canceling.

5

Wait if Processing appears

Whereby may briefly show a Processing screen that says Please do not close this screen. Leave the tab open until the success modal appears — closing early can leave you unsure whether the cancel stuck.

6

Read the cancellation confirmation

You should see Your subscription has been cancelled, with the date you keep paid features through, and a note that it may take a few minutes for the subscription summary to update. Click Continue.

7

Verify the Cancelled badge

Back on Subscription, Current plan should show a Cancelled badge next to the plan name, plus a banner inviting you to Restart your subscription before access ends. That badge is your proof renewals are off — if it never appears, open Help in the app or email support@whereby.com.

If this applies to you

Business plans: only a billing-capable owner can cancel

On Business, the organization bill covers every host license. Team members without Subscription access cannot stop renewals — the account owner (or whoever manages billing) has to run this flow. Canceling ends paid features for the whole org at period end, not just your seat.

Save recordings before rooms go offline

After the billing term (or trial) ends, Whereby's cancel modal says all rooms become unavailable immediately and media-storage files are deleted after 14 days. Export recordings and anything you need from rooms before that date — canceling does not wipe them on the day you confirm, but waiting until after the end date can.

If the Cancel subscription button is missing

You may be on the wrong workspace, or on Whereby Embedded (a separate API product with its own contract). Switch accounts in the top-left picker, confirm you're on Meetings billing at whereby.com/user/subscriptions, then contact support@whereby.com if Cancel subscription still does not appear.

Frequently Asked Questions

No further renewals should post after a successful cancel. Whereby's pricing FAQ and Terms say you keep the paid features you already paid for until the end of the current billing cycle, then Pro accounts drop to Free. The exact end date appears on the cancellation confirmation modal and on the Subscription page afterward.

Whereby's support Policies state they do not issue refunds for a change of mind or for automatic renewals. Extenuating cases may be reviewed if you contact support within 30 days of the renewal; older invoices are ineligible. EU and UK consumers may also have a 14-day withdrawal right on a new subscription under local law. A standard mid-cycle cancel is access until period end — not a prorated cash refund.

You keep using paid Meetings features until the end date shown at cancel. After that, the cancel modal warns that rooms become unavailable immediately, files in media storage are deleted after 14 days, and account and configuration data are deleted after 60 days. Pro plans are described in the Terms as downgrading to Free when the paid month ends. Download anything critical before the end date.

Someone signed into the organization account that owns billing, with access to the Subscription page. Regular team members who only join rooms usually cannot change the plan. There is no separate Apple or Google Play cancel path for Whereby Meetings — billing is handled on the web (Stripe). Whereby Embedded is a different product and is not canceled through this Meetings flow.

Yes. Business offers a 14-day free trial on the pricing page. Use the same Subscription → Cancel subscription flow before the trial ends so you are not charged when it converts. Trial cancel copy may say you lose access to the account, subdomain, and rooms once the trial period ends — confirm before the trial expiry date shown in the sidebar.

Yes. After cancel, the Subscription page shows a Restart your subscription banner (and the Terms say reactivating before you are downgraded keeps Pro features uninterrupted). You can also return later via the pricing page and subscribe again. Restart before the end date if you only meant to pause the cancel.
