Step-by-step instructions

Open Admin Center Billing

Sign in and go to calendly.com/app/admin/billing (Admin center → Organization settings → Billing). Only Owners and Admins see this page. Your subscription card shows the current plan and seat count — canceling a paid Calendly plan means switching to Free.

Click Change plan, then Downgrade

On Your subscription, open the Change plan dropdown and choose Downgrade (not Upgrade). That opens the Choose a plan that fits modal with Standard, Teams, Enterprise, and a Free option below the cards.

Click Switch to the Free plan

In Choose a plan that fits, ignore Select on Standard or Teams. Scroll to the centered Switch to the Free plan button and click it. That is how you cancel — Calendly does not show a separate Cancel label.

Confirm Downgrade

Calendly shows a confirmation modal with the Free switch date and that you keep your current plan until then. Read the date, then click Downgrade (not Cancel, which aborts). The change is scheduled — you are not on Free until that billing-cycle date.

Verify the pending banner

Back on Billing, a banner should state when your paid plan ends and that you will switch to Free. You keep paid features until that date. If you change your mind before then, click Keep Subscription on the banner to undo the downgrade.

If this applies to you

If you only want a cheaper paid plan

Instead of Free, open Change plan → Downgrade, click Select on Standard (or another lower paid tier), then confirm Downgrade on the Downgrade to Standard modal. You stay on a paid plan at the new rate from the next cycle — that is not a full cancel.

After a paid-tier downgrade, Calendly shows You scheduled your downgrade! with the destination plan and date. Click OK, then check the Billing banner and Keep Subscription if you need to reverse it.

If this applies to you

If you subscribed through Apple

Single-seat Standard bought in the Calendly iOS app is billed by Apple. Calendly cannot change or cancel that subscription on the web Billing page. On iPhone: Settings → your name → Subscriptions → Calendly. Access continues until the App Store period ends; refunds go through Apple, not Calendly.

If you lost access to the login email

You cannot self-serve cancel without signing in as an Owner or Admin. Email billing@calendly.com for cancel/refund help on a card still charging, or loginsupport@calendly.com to recover access when the old work email is gone. General support often replies to the locked address — use those billing/login inboxes instead.

Cancel is not the same as deleting your account

Free downgrade stops paid billing and leaves your scheduling page and booked events. Permanent delete is Account → Account Settings → Profile → Delete Account (email verification code) and cannot be undone. Prefer Free if you might return.

Frequently Asked Questions

No new plan charges after a successful Free downgrade. You keep paid features until the end of the current billing cycle — the date on the Billing pending banner. Empty seats still bill until they are removed (seat removals also take effect at period end). If charges continue after that date, confirm the Free switch happened, check you canceled the correct organization if you own more than one, and email billing@calendly.com with the invoice.

Calendly states payments are generally non-refundable under its Terms. Canceling mid-cycle keeps access until the period ends; it does not return unused time as cash by default. Support may review special cases after you cancel — contact billing@calendly.com. EU and UK consumers may still have a 14-day right of withdrawal under local law. Apple App Store purchases must request refunds through Apple.

Your account stays on Free. Booked events are not deleted when you cancel. Paid-only features (extra event types, team tools, workflows, and similar) stop when Free starts. If you used Notetaker, past recordings and recaps remain available, but new meetings are not recorded until you upgrade again.

Cancel in iOS Settings → [your name] → Subscriptions → Calendly. The web Billing Change plan flow will not manage an App Store subscription. After Apple cancel, you move to Free at the end of that Apple billing term. To move to a Calendly-managed multi-seat plan later, cancel Apple first, then upgrade on calendly.com.

New users get a two-week Teams trial that moves to Free automatically — no cancel step is required if you never added a paid plan. If you already upgraded to a paid subscription during or after the trial, use the Free downgrade flow above before the next renewal. Help also says you can contact the billing team about trial cancels.

Yes. Before the Free switch date, Keep Subscription on the Billing banner restores the paid plan. After Free is active, open Billing, Change plan → Upgrade, pick Standard or Teams, and confirm. Event types and history stay on the account; paid features return after you upgrade.
